Job Description:

This is a full-time position based in Regina. Main duties will include responsibility for supporting the MLA to performer her duties by managing all aspects of the MLA’s constituency office, including collaborating on case work, financial management, excellent customer relations skills, dealing and responding to concerns of constituents, excellent computer and data analysis skills, research, oral and written communication skills and attending meetings with our representing the MLA. Comfort with social media and impact of messaging. The assistant is an important part of being the gatekeeper to the MLA’s reputation in communication and actions.

The office is a busy place and thrives on a positive, welcoming atmosphere. It requires assistants to work independently, take initiative, and stay in constant collaboration to support the MLA. Organizational skills and the ability to manage the MLA’s calendar/schedule, anticipate and manage small projects with updates and follow through, meet community needs for support and outreach along with the ability to smoothly adapt to a quick changing schedule are a fun and critical part of the role.

Primary Responsibilities:

  • Dealing with casework referred to MLA from constituents with confidentiality and political astuteness, which includes evaluating information, checking its accuracy, investigating complaints, referring to MLA for direction before referring to relevant government offices, and preparing MLA response to constituents and assisting in drafting correspondence to Ministers, staff and stakeholders and maintaining database records
  • Managing the financial accountability for the office expenditures, ordering materials, and supplies, preparing and authorizing payments, records and file management, preparing forecasting and maintaining the budget
  • Researching and communicating information to respond to the issues/inquiries made by constituents of the MLA and critic area and assisting the communication of that information in various means when required
  • Attending meetings/functions with the MLA when necessary. There may be options for tour planning and travel in assisting the MLA in her engagement with stakeholders always with professional comportment in staffing the MLA which involves taking notes, documentation and follow-up as necessitated

Qualifications:

The successful candidate will possess the following knowledge, skills and experience:

  • Strong organizational skills, including the ability to set priorities and manage several tasks simultaneously on sometimes rapidly changing/unpredictable timelines
  • Strong interpersonal customer relation skills including the ability to deal courteously with members of the general public, who need assistance and may be in crisis
  • Strong oral, written communication and research skills. The ability to write clearly and accurately is essential while always being sensitive to risk management. A thorough grasp on spelling, grammar, and tone is critical
  • Computer/data skills including MS Word esp. tables, Excel, PowerPoint, video editing and Social Media, Outlook calendar
  • Familiarity with organization of civic, provincial and federal government and appropriate chain of escalation
  • Familiarity with the organization of the New Democratic Party
  • Familiarity with duties of MLA including critic area, procedures of the Legislative Assembly
  • Familiarity with the issues affecting people and demographics of Regina Rochdale
